Summit Accountancy Solutions is a sole trader accountancy practice based in Wakefield, West Yorkshire. We are the data controller for the personal information you provide to us.

What information we collect

When you contact us through our website, we collect your name, email address, and any information you include in your message.

If you become a client, we will also collect personal and financial information necessary to provide our services. This may include your name, address, date of birth, National Insurance number, income and expense records, bank details, tax reference numbers, and other financial data relevant to your circumstances.

Where required by anti-money laundering legislation, we will also collect identity verification documents, such as a copy of your passport or driving licence and a proof of address.

How we use your information

We use your information to respond to your enquiries, prepare and submit Self Assessment tax returns, carry out bookkeeping, support your compliance with Making Tax Digital, submit information to HMRC on your behalf, carry out identity and anti-money laundering checks as required by law, and keep you informed about matters relevant to your account.

We will not use your information for marketing purposes without your explicit consent, and we will never sell your data to third parties.

Our legal basis for processing

We process your personal data on the following legal bases: performance of a contract (to provide the services you have engaged us for), compliance with a legal obligation (such as tax and anti-money laundering requirements), and legitimate interests (to respond to enquiries and manage our business).

How long we keep your data

We retain client records for a minimum of six years following the end of our engagement, in line with HMRC requirements and our professional obligations as an AAT Licensed Bookkeeper.

Records held for anti-money laundering purposes are retained for five years from the end of the business relationship, as required by the Money Laundering Regulations. Enquiry data from people who do not become clients is deleted within 12 months.

Who we share your data with

We share your information only where necessary to provide our services or to meet our legal obligations. This includes HMRC and other regulatory or statutory bodies where required by law.

To deliver our services, we use trusted third-party providers. These may include accounting and tax software, Making Tax Digital-compatible software, identity verification and anti-money laundering services, email and cloud storage providers, and other professional service providers. These providers are permitted to use your data only to deliver the services we have engaged them for and are required to handle it securely.

We do not sell your personal data. We will not share it with any other third party for their own purposes.

Your rights

Under UK GDPR, you have the right to access the personal data we hold about you, request correction of inaccurate data, request deletion of your data (subject to our legal obligations), object to or restrict processing, and data portability.
